About Your Role

We are seeking a high-performing, exceptionally organized Executive Assistant with outstanding technical skills to provide direct support to our US-based leaders, including but not limited to Chief Growth Officer (Americas) and our US-based Co-Founder. This role demands a proactive problem-solver who thrives in a fast-paced environment, can manage competing priorities with precision, and is highly adept at leveraging tools and technology to drive efficiency.

What You Do:

Executive & Administrative Support

  • Provide comprehensive administrative assistance, including complex calendar management, meeting scheduling, travel arrangements, and preparation of materials for internal and external engagements.

  • Act as a central point of contact between leadership and both internal teams and external partners, ensuring smooth communication and alignment across time zones.

  • Monitor and prioritize ongoing projects and assignments, ensuring deadlines are met and deliverables are completed with excellence.

  • Anticipate operational needs and proactively address issues to maintain seamless daily workflows.

  • Maintain strict confidentiality when managing sensitive information and executive matters.

  • Act as extension of global People team, support with recruitment, onboarding, and off-boarding processes

Technical & Systems Support

  • Update and maintain Salesforce records, ensuring accuracy and timeliness of sales and customer data.

  • Navigate contracts through contract management system, including uploading, tracking, and following up to ensure smooth progression through legal review and approval.

  • Prepare reports, dashboards, and summaries using Salesforce, Microsoft Office Suite, and other productivity tools.

  • Troubleshoot and resolve day-to-day technical challenges for the leadership team, ensuring they can operate efficiently with minimal disruption.

Operational Excellence

  • Develop and maintain efficient processes and documentation for recurring executive tasks and workflows.

  • Coordinate with cross-functional teams to track deliverables, follow up on outstanding items, and provide regular status updates to leadership.

  • Ensure all work complies with company policies, procedures, and guidelines, including Quality Assurance and Information Security requirements:

What You Bring:

  • 5+ years of experience as an Executive Assistant, Senior Administrative Coordinator, or similar high-level support role.

  • Demonstrated expertise in managing multiple executives and priorities in a fast-moving environment.

  • Advanced technical proficiency in Salesforce, Microsoft Office Suite, and contract management platforms (LawVu experience strongly preferred).

  • Exceptional organizational skills with a proven ability to manage complex calendars, projects, and deliverables under tight deadlines.

  • Proven track record of discretion and confidentiality in handling sensitive matters.
